So what exactly is the job?

TopCashback is currently looking for a resourceful, motivated, self-starter of a people-person to join the Operations Team. You can take direction like nobody’s business but you’re also a real go-getter who can think three steps ahead of yourself! As Office Manager, you’re more than just the person who orders office supplies and books travel arrangements; you’re also the nurturing soul that keeps the staff on track with a big smile, a quick answer and a proactive attitude.

 

Responsibilities:

You’ll literally be helping to keep the lights on by doing everything from paying the monthly bills to ordering supplies. Specifically, just some of the responsibilities you’ll be handling include:

— Service Contracts – Help to monitor and set up monthly/annual contracts

— File Organizer – Like an eagle-eyed librarian, you’ll know exactly where everything goes, developing organizational procedures for filing, billing and more.

— Manage Projects – Work with building management on office repairs and any office related issues.

— Recruitment – Help with hiring new employees by posting job specs, filtering applicants and coordinating interviews, as well as helping to on-board new employees once they start working.

— Go Shopping – Yep, you’ll get paid to actually shop! That’s because as Office Manager, you’ll handle the majority of purchasing for the US office from regular supplies to new office furniture, laptops, etc.

— Finance – Work closely with the Finance Team (headquartered in the UK), to maintain and provide copies of all receipts, invoices and purchase orders.

— Travel Agent – Coordinate travel arrangements for staff throughout the year, keeping an eye on the best places to purchase from in order to reduce costs if possible.

— Postal Person – Distribute mail daily and help pack up and ship any company-related packages such as giveaway prizes for our marketing department.

— IT Point Person – Working closely with IT office in the UK, you’ll help out with any PC or phone issues we’re facing in the NJ Office.

— Jack (or Jill) of All Trades – You’re the rock in the office. The one person anyone can go to when they need something done outside of their normal workspace. You don’t need to know everything about everything, but you’re resourceful enough to try to hunt down the right answers.

 

Requirements and Skills:

— Willingness to work Part-Time

— Experience with scheduling and organizing

— —Well organized with the ability to prioritize your workload

— Strong verbal, written, and communication skills

— Basic computer skills – proficient in Microsoft Word, Excel and Outlook

— Have an outgoing, positive approach and be able to work well in a small team environment—

— Self-motivated and proactive

— Honest with a sense of fair play

— Promote positive culture and maintain professional standards

— Minimum 2-3 years’ experience managing an office/administrative environment
